Peninsula Soccer Club - Information for Volunteers

Peninsula soccer is an organization that depends entirely on volunteers to operate.  A minimum of 10 hours of volunteer time must be contributed over the season by a parent or guardians of each player.  In the case of multiple children in the club 10 hours per family will fulfill the requirements.  In lieu of volunteering you can opt out by stating on your registration form or send an email to the Volunteer Coordinator during the season that you would like your cheque cashed.  At registration time the cheque must be dated current.

Each parent is responsible for ensuring that they meet their 10 hour minimum requirement and that the Manager on your team send in a report called TEAM YEAR-END Volunteer Summary, two weeks after the final game. .  Send an email to Volunteer Coordinator (Laine Bennett)

Volunteer cheques will be cashed as soon as the Volunteer Coordinator is able to compile all the results.

On a TEAM LEVEL the only duties that are recognized are:


Team Assistant Referee (3 per team, for U13 and up, 2 per team for Super 8's and 1 per team for Mini's). PSA annually presents Team AR Clinics which must be taken for this to be a volunteer duty. Each parent must fulfill 10 hours of Assistant Referee time.
Team Oranges Volunteer will be allowed if a person does it for the whole season. A suggestion is that you collect money from each parent; that way the cost is shared. PSA does not supply the oranges.
Team Manager (one only)
Additional Team Staff (maximum two persons)
Team Coach (one only)
(The listing of four team officials coincides with BCSA Team Roster Form)
Team Goal volunteers ( moving goals, setting up nets and insuring fastening to the ground) (four persons per team)
Concession duties (please ensure that your parent does 10 hours in a season or state hours completed)

All duties like phone person, score recorder, fundraising for your TEAM are not considered as volunteer duties.

Explanation of volunteer duties that are necessary to keep our club running

Many people ask: "What is a coordinator's job?" In each of our volunteer duties we have a coordinator because that person is responsible for that particular job.  It may encompass many things, from buying food to arranging for people to help etc.  In each of the scenarios below we need a coordinator and many helpers.  If you feel you need further description before you sign up for the job please contact the person currently doing it and ask them for a full description.

Chocolate Coordinator:  Orders chocolates  based on information given on their registration form. At picture day the coordinator hands out the chocolates to each player.  The information is given to the Coordinator by the Registrar.

Clothing Coordinator:  Coordinator would prepare forms for distribution via email.   Managers would ensure that all their parents are given the information regarding the purchasing of Peninsula Soccer Gear.  The coordinator would ensure that the clothing line is in good order and that the best prices have been achieved.  Bring in new lines if possible, ensure web site is current with the proper information regarding the clothing. Coordinator will set up dates for viewing clothing at certain locations at the soccer fields.

Uniform Coordinator/Helpers:Helpers assist the coordinator to hand out the uniforms at beginning of season and put back the uniforms at the end of the season.  The coordinator ensures that all the clothing is put back correctly and counted for new season.

Equipment Coordinator/ Helpers:  Helpers assist the coordinator to hand out the equipment at the beginning of season and put back at the end of the season.  The coordinator will purchase equipment if necessary and ensure that equipment is in good standing order.

Coordinators (for each age group):  Ensures each team in their age group has a Coach/Asst Coach/manager.  Allocates players to teams in their age groups, sends in team declaration forms, provides team list to each coach, ensures coaches have filled out conduct forms, liaises with technical committee to schedule player development clinics, handles queries/complaints from parents which cannot be resolved at a team level and forwards complaints to the Board for review.  Acts as a resource person for coaches.

Concession Coordinators/Workers:  A concession coordinator would purchase product, arrange all necessary items to be brought to the site of the concession, arrange workers, book concession site and many more things.    Helpers will be assigned a time and will sell the product and help with set up and cleanup.

Team Sponsorship:  A parent can find a sponsor for their team for $250 or $500.  Please contact Sponsorship Coordinator  Mike Synnuck seniors@peninsulasoccer.ca . If a sponsor is found and correct paperwork is handed in your 10hours will be fulfilled for the soccer season.

Executive Board Members:  President, Secretary, Vice-President, Secretary (Elected for a 2 year term)

Directors at Large:  10 elected for a 2 year term

Directors at large chair one or more committees.

Committees are:

-Executive (board management; contract management; public & media relations; LISA liaison )
-Capital Projects (project management; partner liaison )
-Communications and Special Events (internal communications; web management; special event coordination )
-Discipline (head referee; referee coordinators)
-Finance and Fundraising (financial management; budgets; auditor; sponsorship;  fundraising-planning and execution )
-Member Services (registration; equipment; uniforms )
-Risk Management (risk management policy and procedures; volunteer coordination- group coordinators and age group coordinator)
-Technical Development (coach development;  development; player assessment and placement; coach selection; tournaments development clinics )
-Infrastructure Management (buildings and assets )
-Scheduling (fields; practice fields; gym; field lining )

Any member may come and join us on any one of these committees.  You do not have to be a board member.  A board member chairs the committees but we need many hands to help with policies, set up events, schedule, fields etc.  Please come and join us.  Send an email to Volunteer Coordinator (Laine Bennett)

Field Walkers:  Walk a particular field and report to the field scheduler via phone or email.  Fields are walked on Wed and Friday evening and deemed playable or not.
